Position Type: Full-time

Work Hours: 8:00 AM - 5:00 PM EDT

Work Days: Monday-Friday

Salary: $5–$6 USD per hour (depending on experience)

About the Role

Our client is seeking a highly organized, detail-oriented, and proactive Medical Assistant & Clinical Support Specialist to support a fast-paced wellness and aesthetic medical practice remotely. This role is ideal for someone with a healthcare background who thrives in a clinical support environment and enjoys helping improve patient care operations behind the scenes.

You will work closely with the practice team to ensure smooth daily operations, timely patient support, and accurate clinical documentation. The ideal candidate is dependable, independent, tech-savvy, and comfortable handling medical administrative responsibilities with professionalism and confidentiality.

Scope of Work & Responsibilities

  • Prepare patient charts for daily visits
  • Manage and process prescription refills
  • Enter and manage medical orders
  • Conduct patient callback follow-ups
  • Respond to patient messages in a timely manner
  • Provide medical documentation support
  • Assist with limited scheduling tasks when needed
  • Maintain accurate and organized patient records
  • Support daily clinical workflows and operations
  • Follow HIPAA guidelines and patient confidentiality standards at all times

  1. Chart preparation for daily patient visits
  2. Refill management and order entry
  3. Patient callbacks and follow-up support

Preferred Candidate Profile

We are looking for someone who:

  • Has a medical or healthcare background
  • Has experience in integrative wellness, med spa, or aesthetic practices
  • Possesses strong clinical knowledge and understanding of medical workflows
  • Is highly organized and detail-oriented
  • Can work independently with minimal supervision
  • Is HIPAA trained and certified
  • Communicates professionally and compassionately with patients
  • Adapts quickly to systems and processes

Requirements

  • Medical or healthcare education/background preferred but not required
  • Previous experience working in a healthcare or medical support role required
  • Previous virtual assistant experience preferred but not required
  • Medical license (RN, MD, PT, etc.) is not required, but clinical experience is highly valued
  • Experience with Elation or similar EHR systems is strongly preferred
  • Experience in aesthetic, wellness, or integrative medicine practices is a major advantage

Basic requirements

  • Must be proficient in speaking and writing English very clearly
  • Must have relevant work experience
  • Be able to submit an NBI clearance and/or Local Police Clearance background check before onboarding [mandatory]
  • Must be available for video meetings with your camera on (when needed)

Technical requirements

  • Device: Reliable laptop or desktop computer.
  • Internet: High-speed connection (minimum 10 Mbps).
  • Audio: Noise-canceling headset.
  • Video: Webcam for virtual meetings.
