Position Summary

KIND seeks a Workplace Operations Manager, Data & Contracts to own the systems of record for workplace operations across all KIND locations. This role is responsible for maintaining accurate, accessible, and audit-ready data related to workplace agreements, compliance documentation, and operational records.

The Workplace Operations Manager, Data & Contracts serves as the central steward of contracts, equipment leases, certificates of insurance, and workplace operations documentation, ensuring that leadership and operational teams can rely on consistent, trustworthy information to make informed decisions. This role ensures all workplace operations records are properly executed, stored, tracked, and governed. The Workplace Operations Manager, Data & Contracts establishes data standards, monitors key deadlines, and enables reporting and compliance visibility, protecting KIND’s operational integrity, reducing organizational risk, and supporting strategic planning across the Workplace Operations portfolio.

This is a remote position based from any location in the U.S. 

This position is contingent upon continued funding.



Essential Functions
  • Owns and maintains centralized repositories for workplace operations records, equipment leases, contracts, vendor agreements, and compliance documentation.
  • Maintains systems of record supporting workplace operations across 10+ offices nationally.
  • Creates dashboard visualizations using tools like Power BI, Tableau, or other systems to visualize operational data.
  • Establishes and enforces data standards for naming, storage, version control, and access across all workplace operations systems.
  • Ensures all executed agreements and related documents are accurately stored and easily retrievable.
  • Tracks expiration dates, notice periods, renewal timelines and issue alerts to leadership and responsible parties.
  • Manages certifications of insurance (COIs) and other compliance documents for workplace vendors and landlords.
  • Conducts periodic audits to confirm documentation completeness and accuracy.
  • Creates SOPs and training materials to support consistent data entry and record management across the team.
  • Partners with Workplace Operations managers to ensure operational processes align with documentation and reporting.
  • Supports leadership in identifying opportunities for automation and system improvements related to document management and reporting.
  • Evaluates and support the adoption of tools to streamline data collection, document storage, and reporting workflows.
  • Assists leadership in exploring automation and AI-enabled solutions to improve accuracy and efficiency.
  • Provides data insights to support strategic initiatives, organizational planning, and other duties as assigned.

Qualifications and Requirements
  • Graduate degree preferred with 1 year of experience in facilities data governance, or bachelor’s degree with a minimum of 3 years of experience in facilities data governance.
  • Experience with data governance, records management, and document lifecycle control.
  • Proven experience with advanced spreadsheet analysis and structured data management.
  • Experience using document management platforms such as SharePoint, ShareFile or Google Workspace.
  • Experience with dashboard creation and operational reporting using data visualization tools.
  • Experience with workflow automation tools, such as Power Automate or similar platforms.
  • Demonstrated experience with process documentation and SOP development.
  • Must be fluent in English. Spanish preferred but not required.
  • Experience coordinating across departments in a matrixed or multi-site environment.
  • Excellent organization and time management skills, as well as astute attention to detail while prioritizing org wide projects.
  • Working knowledge of Microsoft Office Suite (such as Teams, Excel, etc.).
  • Ability to work collaboratively and multi-task in our KIND environment, managing numerous priorities and emerging opportunities.
  • Excellent organizational skills with the ability to work on multiple projects in a deadline-oriented environment; ability to prioritize tasks and delegate as appropriate.
