Key Responsibilities
Serve as the first point of contact for clients via phone, email, and chat, providing timely, courteous, and accurate support.
Answer questions about services, appointments, locations, and basic account or portal access issues, escalating clinical or complex questions to the appropriate team.
Schedule, reschedule, and confirm appointments in the electronic system as needed, following established guidelines.
Assist clients with understanding instructions they receive from the clinic (e.g., what to bring, insurance information, forms, or documents).
Document all client interactions clearly and accurately in the appropriate systems, following internal procedures.
Identify urgent or sensitive issues and follow escalation protocols to ensure clients receive prompt attention.
Work closely with internal teams (scheduling, billing, medical records, and clinical staff) to resolve multi‑step client issues.
Maintain a high level of professionalism, empathy, and confidentiality in every interaction, in line with organizational and privacy requirements.
Required Skills and Qualifications
Prior experience in customer service, call center, or client support; healthcare or nonprofit experience is a plus but not required.
Strong verbal and written communication skills with a patient, empathetic, and solution‑focused approach.
Comfortable using computers, multiple software systems, and learning new tools for scheduling, documentation, and communication.
Excellent organizational skills and attention to detail, with the ability to manage multiple tasks in a fast‑paced remote environment.
Ability to work independently, meet performance and quality standards, and follow established processes.
