Job Description

We are seeking a detail-oriented and proactive Project Manager. The Project Manager will assist in its day to day activities and to ensure a collaborative environment with its stakeholders at a local and international level.

Roles and Responsibilities:

  • Research and compile Grants and proposals using existing submissions and submit to MD for review and approval
  • Managing social media and publish posts daily using libraries, newsletters and AI where feasible, after weekly approvals from line manager
  • Prepare and maintain a social media plan in coordination with MD, Publish according to SM plan
  • Oversee the project environment operations including administrative tasks such as:
  1. Correspondance, memos, reports
  2. Procurement
  3. Inventory
  4. Maintain a cash journal (bills, receipts)
  5. Organize travel
  6. Run errands as required
  • Schedule meetings and appointments
  • Organize the project team and offices
  • Maintain the work environment conditions and ensure the necessary standards
  • Update and maintain project and office policies as necessary
  • Organize project and office operations and procedures
  • Coordinate with IT department on all office equipment
  • Coordinate with Accountant and ensure proper filing and annual financial statements
  • Coordinate with C-suite for their documentation requirements
  • Ensure that all items are invoiced and paid on time
  • Manage contract and price negotiations with office vendors, service providers and related agreements
  • Manage office G&A budget, ensure accurate and timely reporting
  • Provide general support to visitors
  • Assist in the onboarding process for new hires
  • Address employees queries regarding office management issues (e.g. meetings, Hardware and travel arrangements)
  • Plan in-house or off-site activities, like events and conferences

Requirements

  • Demonstrated experience as a Project Manager or Administrative Officer.
  • In-depth understanding of administrative responsibilities, systems, and procedures.
  • Advanced proficiency in MS Office applications, particularly MS Excel, MS Word, and MS Outlook.
  • Familiarity with email scheduling tools, such as Email Scheduler and Teams.
  • Exceptional time management skills with the ability to manage multiple tasks and prioritize effectively.
  • Meticulous attention to detail coupled with proficient problem-solving abilities.
  • Superior written and verbal communication skills.
  • Robust organizational and planning capabilities in a high-paced environment.
  • A creative disposition with a propensity for suggesting enhancements.
  • Possession of a graduate degree; additional qualifications will be considered advantageous.

Minimum Technical and Work Environment Requirements:

  • Internet Connection:
    • Primary internet connection with a minimum speed of 15 Mbps.
    • Backup internet connection with at least 10 Mbps.
    • Backup connection must be capable of supporting work during a power outage.

  • Primary Device:
    • Desktop or laptop equipped with at least:
      • Intel Core i5 (8th generation or newer)Intel Core i3 (10th generation or newer)AMD Ryzen 5, or an equivalent processor.
      • A minimum of 8 GB RAM.

  • Backup Device:
    • Must meet or exceed the performance of an Intel Core i3 processor.
    • Must be functional during power interruptions.

  • A functioning webcam.
