Position Overview

We are seeking a highly detail-oriented and organized Sales Development Representative (SDR)/Executive Assistant to join our electrical contracting company. This entry-level position requires exceptional attention to detail and the ability to manage complex follow-up tasks with various jurisdictions regarding permits, inspections, and compliance requirements. As the first point of contact for our customers, this role supports our sales team in maintaining strong client relationships while ensuring smooth daily operations. Must be bilingual in English and Spanish.

Primary Responsibilities

Customer Communication

  • Answer and manage incoming phone calls professionally, directing them to appropriate team members or handling inquiries directly
  • Respond to customer emails in a timely and professional manner
  • Schedule appointments and consultations for the sales team
  • Follow up with potential clients and maintain communication logs

CRM Management

  • Update and maintain customer information in the company's CRM system
  • Input new leads and opportunities into the database
  • Track customer interactions and communication history
  • Generate regular reports on customer inquiries and lead status
  • Ensure data accuracy and completeness in the CRM system

Sales Support

  • Qualify incoming leads according to established criteria
  • Support the sales team with administrative tasks and documentation
  • Coordinate with project managers on project updates and timeline changes
  • Assist in preparing sales proposals and quotes
  • Maintain organized filing systems for contracts and project documentation

Administrative Duties

  • Manage general office email inbox
  • Track and follow up with various jurisdictions regarding permits, inspections, and compliance requirements
  • Maintain detailed records of all jurisdiction communications and deadlines
  • Research and stay updated on jurisdiction-specific requirements and processes
  • Coordinate internal team meetings and maintain calendars
  • Process and distribute incoming mail and correspondence
  • Maintain office supplies and equipment
  • Assist with basic bookkeeping tasks as needed

Requirements

Required Qualifications

  • Bilingual in English and Spanish required
  • High school diploma or equivalent; some college education preferred
  • Exceptional attention to detail and ability to maintain accurate records
  • Strong organizational skills with demonstrated ability to manage multiple deadlines
  • Experience with or ability to quickly learn jurisdiction-specific requirements and procedures
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook)
  • Strong verbal and written communication skills
  • Excellent follow-up and tracking abilities
  • Basic understanding of customer service principles
  • Ability to multitask and prioritize effectively
  • Proven track record of meeting deadlines and maintaining accurate documentation
