Who The Client Is: This media and marketing agency specializes in enhancing online presence and credibility through strategic social media growth and mainstream media features. With a focus on maximizing brand exposure, they help businesses expand their customer base while allowing them to focus on daily operations. Their expertise ensures that brands stay visible and relevant in an increasingly digital and mobile-driven world.

Role Overview:

The Virtual Assistant will provide administrative, operational, and creative support to the Director, ensuring the smooth running of day-to-day activities. This role is pivotal in managing workflows, client communications, and project timelines, while allowing the Director to focus on strategic initiatives and scaling the business.

Key Responsibilities:

1. Administrative Support

    • Manage email inbox: Organise, flag, and respond to routine emails.
    • Schedule and manage the Director’s calendar, appointments, and meetings.
    • Prepare and send invoices, track payments, and follow up on overdue accounts.
    • Maintain client records and documentation using CRM tools.
    • Format and prepare reports, proposals, and presentations.

2. Social Media Management

    • Schedule and publish content on social media platforms using tools like Buffer or Hootsuite.
    • Respond to comments, messages, and engagement activities on behalf of the Company.
    • Conduct hashtag research and implement it into social media campaigns.
    • Monitor and report on analytics to track performance and identify trends.

3. Client Coordination

    • Assist with onboarding new clients, including setting up accounts and preparing welcome materials.
    • Draft and share status updates or progress reports with clients.
    • Ensure timely communication with clients to address queries or requests.

4. Content Support

    • Create social media graphics and banners using Canva or similar tools.
    • Proofread and edit blog posts, email campaigns, and other marketing materials.
    • Source stock images and curate content ideas for campaigns.

5. Research and Project Support

    • Conduct research on market trends, competitors, and tools.
    • Identify potential influencers or collaborators for campaigns.
    • Track task progress in project management tools (e.g., Asana, Trello).
    • Organise and consolidate client feedback for internal use.

Requirements

  • Essential:
    • Proven experience as a Virtual Assistant or in a similar role.
    • Excellent written and verbal communication skills in English.
    • Strong organisational and time management abilities.
    • Proficiency in tools like Google Workspace (Docs, Sheets, Drive), Canva, and social media scheduling platforms.
    • Ability to multitask and meet deadlines in a fast-paced environment.
    • Tech-savvy with an aptitude for learning new tools and software.
  • Desirable:
    • Experience in the digital marketing or social media industry.
    • Familiarity with tools like Trello or Asana for project management.
    • Knowledge of social media analytics and reporting.
    • Basic design skills using Canva or similar platforms.
