Hi, I'm Mimi, and I run Truvay Travel from Hanover, New Hampshire.
We're a luxury travel advisory specializing in active, culturally immersive trips for families with young adults. As the only Condé Nast specialist and Virtuoso advisor in the Hanover, New Hampshire area, we design what I like to call "ungoogleable" adventures. These are trips that blend authentic local experiences with luxury elements - think street food followed by Michelin dining and five-star lodges.

We're a small but mighty team that values being cutting-edge and nimble, and we're deeply committed to overdelivering on our clients' experiences.
Right now, I'm swamped - especially during peak seasons like January through March. I need someone to own the operational side of our trips so I can focus on what I do best: building client relationships and growing the business.

When things slow down, you’ll shift gears: refining systems, improving SOPs, brainstorming creative content for social media and newsletters, and strengthening our operations for the next wave of travel.

We're looking for a Travel Operations Manager who will be the operational backbone of our agency. This person will manage sections of the design phase of a trip and all aspects of a trip after booking until departure, ensuring our processes are airtight, our itineraries are flawless, and our systems work seamlessly.
In this role, you will:
🌍 Master internal systems like Axus, TripSuite, TravelJoy, and Constant Contact
📋 Build, refine, and optimise SOPs and templates to streamline workflows
🔍 Review itineraries with meticulous attention to detail—suppliers miss things, but you won't
💎 Send VIP communications to hotel GMs with client preferences and arrival details
💰 Manage trip payments, commission invoicing, and track outstanding payments
🛡️ Oversee travel insurance sales, including quoting policies and maintaining records
🤝 Follow up with partners post-trip to share feedback and strengthen relationships
📱 Create social media posts and videos by repurposing newsletter content
📚 Create onboarding documentation for future team growth
🎯 Provide luxury-level concierge support for the small details that create big impact
This is a full-time role with remote hours between 6am-2pm EST.
Requirements
To excel in this role, you need:
✅ Extremely detail-oriented with a natural drive for perfection
✅ Strong written and spoken English for client communication and itinerary proofreading
✅ Ability to spot gaps, errors, and inconsistencies proactively
✅ Experience with operations, administration, and client-facing tasks
✅ Comfortable learning and using tools like Canva, travel platforms, and CRMs
✅ Ability to take ownership of trips from post-booking through departure
Advantageous to have:
⭐ Background in travel, hospitality, or luxury service
⭐ Experience with itinerary building or similar coordination work
⭐ Basic marketing or social media support skills
⭐ Process improvement mindset with experience organizing workflows and creating SOPs
