Compensation:  $65k - $75k depending on experience

Mission of the Role

The objective of this position is to deliver the ProfitCoach Experience (owning the outcome, ease of doing business, and extraordinary service) to ProfitCoach clients through quality assurance reviews, client relationship and account management that delivers accurate, timely, and efficient full-service accounting, while also maintaining an awareness of the unique needs and profit-growing/stewardship opportunities of each individual client.

Requirements

  1. Key Responsibilities: While other responsibilities may be required within the scope of this position, here is a summary of tasks: 
    1. Internal Tasks: 
      1. Company and Departmental team meetings 
      2. Internal email and Slack correspondence
      3. Skill development reading 
      4. Daily task planning 
      5. Task-by-task time tracking 
    2. Senior Trust Accounting functions: 
      1. People 
        1. Training the team on new or complex processes
        2. Monitor team performance metrics (Direct Labor Efficiency, Staff Utilization, Staff Hours Budget vs. Actual) alongside the Trust Department Manager
      2. Process 
        1. Function as “first in line” to understand new functions, define the process and train the team to carry out the new process 
        2. Ensure timely completion of all assigned client tasks 
        3. Ongoing process improvement 
      3. Client relationships 
        1. Lead and participate in new client onboardings 
        2. Create spreadsheet and other ad hoc tools as needed to make Trust accounting processes more efficient 
        3. Lead and participate in client meetings to discuss accounting and service related questions
        4. Client email correspondence 
        5. Create and maintain client communication protocols 
          1. We have some communication cadences that need to be formalized, such as: 
            1. ProfitCoach Retreat communications 
            2. Holiday Hour reminders 
            3. PTO heads up 
            4. Start of service on-boarding protocol 
        6. Management of client relationship, including setting and maintaining expectations 
        7. Overseeing issue resolution alongside Trust Department Manager
        8. Maintaining “ADEPT Communication” with clients: 
          1. Assess the need 
          2. Detail the solution 
          3. Energize the conversation 
          4. Provide closure 
          5. Tell the truth, always 
    3. Financials 
      1. Review and ownership of financial statements, including: 
      2. Reconciliation review 
      3. Reports (owner statements, income statement, balance sheet) 
      4. Other crosschecks 
    4. Accounting functions
      1. Bank reconciliation 
      2. Financial diagnostics 
      3. Billing 
      4. Payment processing 
      5. Owner statement processing 
      6. Security Deposit processing 
      7. Other accounting tasks
  2. Skills & Experience required: 
    1. Ability to manage client relationships and deliver the ProfitCoach experience (owning the outcome, ease of doing business, and extraordinary service) 
    2. Ability to oversee the execution of routine and non-routine (clean up, onboarding) services 
    3. Advanced problem-solving skills 
    4. Ability to write, improve, and train on new Trust accounting processes 
    5. Bookkeeping experience with a focus on accuracy, timeliness and efficiency 
    6. Excellent verbal and written communication 
    7. Proficiency with Microsoft Excel 
    8. Ability to define and document new processes 
    9. Basic ability to read and analyze financial statements 
    10. Ability to quickly learn and master new cloud-based software applications 
    11. Expert Proficiency with AppFolio 
    12. Proficiency with Rentvine (preferred)

Role Functions and Client Support Scope

  1. Oversight of Functions: 
    1. Inbox management 
    2. Owner statements 
    3. Owner Distributions 
    4. Entering correcting entries 
    5. Posting Late fees (to include eviction notices) 
    6. Meeting client deadlines 
    7. Servicing client nuances 
  2. Approval of Functions: 
    1. Online payables (eChecks, BillPay Checks) 
    2. Direct ACH payments 
    3. Audit packages 
    4. Weekly Update emails 
  3. Ownership of Functions: 
    1. Client and team communication 
    2. Team training and delegation 
    3. Liaison with Corporate department as needed 
    4. 1099s and EOY reports 
    5. High-level accounting requests 
    6. Crosschecks to include: 
      1. Bank transfers 
      2. Negative balances 
      3. Journal entries 
      4. Corporate property activity 
      5. Diagnostics 
      6. Inbox review for PC Experience 
      7. Specific items as required per client
  4. Administrative Expectations: 
    1. Watch for training & delegation opportunities 
    2. Own and manage any needed adjustments in process or process improvement 
    3. Own any new ad hoc reporting requests 
    4. Regularly review client numbers and create/implement plans to keep numbers within budget 
    5. Prepare and lead department-wide trainings as requested 
    6. Research and test new software updates 
    7. Coordinate client clean up projects 
    8. Coordinate new client on-boarding processes
