Job Description
We are seeking an experienced Operations Manager and Executive Assistant to help scale and grow our digital marketing agency. Strong candidates for this role will have at least 3 years of experience in digital marketing and 5 years of experience across various operations roles. Experience with the platform Go High Level is a strong plus.
You will work closely with the owner of this digital marketing agency to support the business growth, develop operations, and also handle administrative and executive assistant tasks in support of the CEO. You will be an integral part of our dynamic team, ensuring smooth operations and effective communication within the company.
You must have strong proficiency in the following areas:
- Digital Marketing Practice Areas: Knowledge and familiarity with the following digital marketing practice areas: SEO, Paid Search, Data & Measurement, Meta Ads, TikTok Ads, organic social, content, and website development.
- Client Facing Experience: Proficiency working with clients directly to understand their needs and develop solutions.
- Learning: The ability to complete course work and learn about new platforms and methods.
- Operations: Proficiency in developing and documenting processes as the business grows.
- Executive Assistant: Proficiency an experience working as an executive assistant to the CEO or Founder.
- Communication: Excellent written and verbal communication skills.
- Organization: Strong organizational skills with the ability to multitask and prioritize tasks effectively.
- Technology: Proficiency in using office software and tools such as Microsoft Office, Google Workspace, and project management tools.
- Go High Level: Experience with Go High Level or other similar platforms.
- Time Management: Ability to manage and optimize executives’ schedules.
- Attention to Detail: High level of accuracy in managing details and tasks.
- Problem-Solving: Strong problem-solving skills to address and resolve issues independently.
You will be working remotely for a US-based business with US-based clients, and you will be part of a team working primarily in the United States. This is a full-time role and requires you to commit all of your working time to this position and company.
- Operations Management: Develop and implement operational processes to improve efficiency and scalability of the business.
- Continuous Learning: Finding and completing courses and online learning to understand new platforms and develop new processes.
- Go High Level Management: Manage our entire instance of Go High Level and develop training documentation for others.
- Client Communication: Act as a point of contact for clients, understanding their needs and ensuring their satisfaction.
- Project Management: Oversee and manage digital marketing projects, ensuring timely delivery and quality.
- System Setup & Management: Develop, document, and manage additional processes and systems that the agency uses.
- Executive Support: Provide administrative support to the CEO, including scheduling, email management, and other executive tasks.
- Team Coordination: Coordinate with team members to ensure smooth operations and effective communication.
- Performance Monitoring: Monitor and analyze key performance indicators to identify areas for improvement.
- Documentation: Maintain and organize important documents, files, and records.
- Process Improvement: Continuously seek ways to improve business processes and operational efficiency.
- Problem Resolution: Identify potential issues and proactively find solutions to ensure smooth operations.
- Continuous Improvement: Stay updated with industry trends and continuously seek ways to improve processes and support functions.
Requirements
- Minimum of 3 years of experience in digital marketing.
- Minimum of 5 years of experience in operations roles.
- Proven experience in a client-facing role.
- Experience as an executive assistant to a CEO or Founder.
- Expertise in using and implementing Go High Level software.
- Strong understanding of digital marketing practice areas, including SEO, Paid Search, Data & Measurement, Meta Ads, TikTok Ads, organic social, content, website development, and email marketing.
- Excellent organizational and multitasking skills.
- Strong communication and interpersonal skills.
- Ability to work independently and manage time effectively.
- High level of attention to detail and accuracy.
- Ability to handle sensitive information with discretion.
- Strong English writing and speaking with a minimal accent
