Executive Operations Manager

Job Description

 Position Overview: 

 

This role is a unique blend of high-level executive assistance, project management, and operational coordination. You will act as the CEO’s right hand, managing business priorities, personal tasks, and operational needs. A critical part of this role involves taking ownership of the CEO’s never-ending 'to-do' list and follow-up tasks—both business and personal—to free up his time and enable him to focus on strategic initiatives and growing the business. 

 

Key Responsibilities: 

 

Executive Support: 

  • Manage the CEO’s calendar, including scheduling business and personal meetings, appointments, and travel arrangements. 
  • Screen and respond to emails, phone calls, and correspondence on behalf of the CEO. 
  • Prepare and organize materials for meetings, presentations, and reports. 
  • Proactively take follow-up tasks and action items off the CEO’s plate, ensuring they are completed efficiently and accurately. 
  • Maintain a high-level view of priorities to help the CEO stay focused on strategic objectives. 

 

Operational Coordination: 

  • Assist with tracking real estate transactions, property performance, and deal updates. 
  • Coordinate timelines and deliverables for key projects. 
  • Maintain project management systems and ensure deadlines are met. 
  • Oversee special projects and ad hoc initiatives, ensuring seamless execution. 
  • Serve as a point of contact for vendors, accountants, service providers, and partners. 
  • Make phone calls to vendors, customers, and other stakeholders to address inquiries, coordinate schedules, or resolve issues as required. 
  • Coordinate scheduling and logistics for property tours, meetings, and events. 

 

Personal Assistance: 

  • Assist with personal errands, appointments, and household-related tasks as requested. 
  • Manage personal travel, events, and occasional family-related logistics. 
  • Maintain strict confidentiality regarding personal and business matters. 

 

Financial and Administrative Support: 

  • Assist in preparing expense reports, tracking budgets, and managing payments. 
  • Collaborate with accounting teams on invoices and financial documentation. 

 

Qualifications: 

Experience: 3-5 years of experience as an Executive Assistant, Operations Manager, or in a similar role, preferably in real estate, private equity, or a related industry. 

Education: Bachelor’s degree required, preferably in Business Administration, Real Estate, Engineering, Law, or a related field. Advanced degrees (e.g., MBA, JD, or Master’s) are a strong bonus. 

Skills: 

  • Exceptional organizational and time-management skills. 
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools (e.g., Asana, Trello). 
  • Proven ability to implement effective organizational systems and tactics from day one. 
  • Experience using advanced administrative tools and software to streamline workflows. 
  • Ability to work independently and adapt to a fast-paced environment. 
  • Strong attention to detail and problem-solving skills.
