Client Success Assistant (US-based Tech Start-Up)

Job Description

Work Arrangement: Fully remote, overlapping Pacific Time (PST) working hours.

Job Type: Full-time, Independent Contractor.

Salary Range: TBA

Work Schedule: 40 hours per week, with core hours between 9 AM – 5 PM PST.

Locations: Remote, open to candidates worldwide with availability during Pacific Time hours.

About the Company:

A dynamic legal tech startup specializing in providing client-centered legal and tax services. We are helping founders and business owners with their tax and legal matters by automating, compiling, fact-finding, and other pre-filing admin. Our team is passionate about understanding and meeting our clients' needs while fostering a collaborative and supportive work environment.

Role Overview:

As a Client Success Assistant, you’ll be an essential part of our fast-moving legal tech startup. Your role will involve handling administrative, clerical, and operational tasks that help automate and simplify legal and tax procedures. This position is perfect for someone detail-oriented, tech-savvy, and excited to contribute to the evolution of legal and tax services through innovation and efficiency.

Key Responsibilities:

  1. File Management Organize and maintain client files, both digital and physical. Support attorneys and paralegals with filing organizations.
  2. Document Preparation Draft documents, questionnaires, and legal forms. Assist in the assembly of petitions and applications.
  3. Administrative Support Manage data entry and document management across multiple systems. Schedule and calendar management; review incoming emails and open items. Provide general administrative support, such as mailing documents, etc.
  4. Immediate Tasks
    1. Get familiar with our document management systems and file organization standards.
    2. Start assisting in the preparation of corporate-related forms and documents.
    3. Begin gathering and organizing client documents for ongoing cases.
    4. Attend introductory meetings with attorneys and paralegals to understand current cases and workflows.
    5. Research Projects: researching laws and creating net new SOPs to help the company expand operations to new states

Requirements

Must-Have:

  • 1-3 years of administrative or office experience, preferably in a law firm setting.
  • Proven experience as an Operations Specialist or Client Success Assistant
  • Proficiency in the following software/tools: Microsoft Office (Outlook, Word, Excel, PowerPoint); Adobe Acrobat; Google Workspace (Gmail); Slack; CRM tools; multi-line telephone systems.
  • Customer-service oriented with excellent communication skills.
  • Proven experience in building SOPs, systems, etc.

Nice-to-Have:

  • Experience working with remote teams.
  • Experience in legal and tax services
