We are looking for a dynamic Program Operations Manager to join our team! The Program Operations Manager will oversee and enhance the operational aspects of our program(s). This individual will be responsible for managing program operations, tools, resource development, the PMO (Project Management Office) standards and audits for the Directorate, implementing project management best practices, and supporting project planning across the program. The Program Operations Manager will also lead program-wide reporting efforts, ensuring stakeholders are informed and engaged throughout the program lifecycle. This role demands a proactive individual with a strategic mindset, who can ensure the smooth operation and success of our program initiatives.

Responsibilities

Program Operations Oversight:

  • Develop and implement efficient and scalable program operations strategies
  • Ensure program operations align with organizational goals and objectives
  • Oversee the management of project timelines and resources

Tools and Resource Development:

  • Identify, evaluate, and implement tools and technologies to enhance program efficiency and effectiveness
  • Develop tools, resources, and operational improvements for use across the program to improve efficiency, embed customer-centric ways of working, and ensure the program teams operate in alignment with standards

PMO Standards and Best Practices:

  • Establish and maintain PMO standards, methodologies, and processes
  • Promote and ensure adherence to project management best practices across all projects within the program
  • Facilitate continuous improvement initiatives within the operations team

Project Planning and Management:

  • Lead the planning and execution of multiple internal projects within the program, ensuring they are delivered on time and within scope
  • Provide guidance and support to project managers and teams to achieve project objectives

Program-Wide Reporting:

  • Maintain and optimize the comprehensive reporting framework for the program
  • Generate and present regular reports on program progress, risks, and issues to stakeholders
  • Ensure transparent and effective communication across all levels of the organization
  • Coordinate reporting on progress toward key metrics, key objectives, and strategic goals

Requirements

  • Bachelor’s degree in Business or a related field. Master’s degree or professional certification (e.g., PMP, PgMP) preferred
  • 7+ years with BS/BA
  • 4+ years with MS/MA
  • 1+ years with PhD
  • 0-3+ years of management experience
  • Public Trust (Tier 1) Security Clearance

Skills

  • Proven track record of managing complex programs and projects successfully
  • Strong knowledge of project management principles, methodologies (e.g., PMBOK, Agile), and best practices
  • Excellent leadership, communication, and interpersonal skills
  • Ability to work effectively in a fast-paced, dynamic environment
  • Proficient in project management software (e.g., Asana, Microsoft Project, JIRA) and other relevant tools. Proficiency in Asana preferred
  • Proficient in Microsoft Office Suite (e.g., Excel, Word, Visio, etc.)
  • Proficiency in PowerBI
  • Proficiency in SharePoint

CATHEXIS offers competitive compensation packages to all eligible employees. Our goal is to provide a compensation package that reflects the value you bring to our team, is competitive with market rates, and promotes your financial security and personal well-being. The annual salary range for this role is $100,000 - $125,000. Please note that the salary information provided is a general guideline. CATHEXIS considers various factors in its final offer, including location, qualifications, experience, and skills.
