Taskforce

Event Program Manager

Job Description

About the Role

TaskForce is seeking a highly organized and community-minded Program Manager / Coordinator to lead the programming execution for an upcoming summit. This summit will convene thought leaders, legislators, and activists to discuss actionable solutions to confront hate in California.

While a separate production team will handle the physical build and technical logistics, this role is the "connective tissue" for the event’s content. You will be the primary point of contact for all speakers, panelists, and workshop leads, ensuring their participation is seamless and the summit’s mission is reflected in every session.

  • Project: Coordinating Programming for a ~300 Summit
  • Duration of Contract: 2 Months, starting immediately (event takes place at the end of April)
  • Location: Bay Area, CA (Remote with frequent on-site requirements in San Francisco)

Key Responsibilities

  • Speaker & Talent Coordination: Serve as the main liaison for high-profile speakers (e.g., government leaders, activists, and hate survivors). Manage outreach, collect bios and headshots, and coordinate all pre-event briefings.
  • Program Asset Management: Ensure all programming-related assets, including presentation graphics, videos, and talking points, are collected and delivered to the production team on time.
  • Panel & Workshop Support: Work closely with moderators and panelists to ensure they have the necessary context and materials for their specific tracks (e.g., "Building Solidarity" or "Combating Online Hate").
  • Venue & Local Liaison: Provide local management support at the San Francisco venue, serving as a point of contact for venue staff and assisting with the coordination of local community partners.
  • On-Site Programming Lead: During the summit, manage the "green room" and speaker flow, ensuring all talent is prepared and sessions stay on schedule.
  • Administrative Oversight: Manage programming timelines and deliverables using project management tools to ensure no detail is missed.

Requirements

  • Experience: 4-6+ years of experience in program coordination, event management, or community organizing.
  • Bay Area Based: Must be based in the San Francisco Bay Area with deep familiarity with local social justice and social impact communities.
  • Communication: Exceptional written and verbal communication skills, with experience interfacing with high-level stakeholders, government offices, and grassroots organizers.
  • Subject Matter Knowledge: A strong understanding of the social justice landscape, particularly issues related to anti-hate work, intersectionality, and community-led solutions. This includes the ability to suggest and vet potential speakers who align with the Summit's mission and values.
  • Project Management: Proven ability to manage complex timelines and juggle multiple priorities in a fast-paced environment.
  • Attitude: A proactive problem-solver with a "can-do" approach to getting projects over the finish line.

Benefits

Contract Type: This is a temporary, full-time, independent contractor position.

Compensation: We are offering $8,000 for the completion of all deliverables under this contract. Invoices can be submitted monthly or bi-weekly.
