SOP & Systems Architect (Notion + AI)

Job Description

FreedUp is a fast-growing Executive Assistant agency based in Austin, TX. We partner with elite founders and executives to help them delegate effectively, install systems, and reclaim their time.

We are hiring an SOP & Systems Architect to design and build custom operating systems for our clients. Every new FreedUp client receives a tailored delegation and workflow system built in Notion. This role owns the creation, structure, and continuous improvement of those systems.

You will work closely with founders, executive assistants, and internal operations to translate messy workflows into clear, documented, scalable SOPs. This is a hands-on role for someone who loves systems, clarity, productivity, and building clean processes that actually get used.

This role is critical to client success and long-term retention. You won’t just document tasks — you’ll design operational leverage.

Requirements

  • 3+ years of experience in operations, systems, process documentation, client success, or project management
  • Advanced proficiency in Notion, including databases, relations, rollups, templates, and dashboards
  • Experience building SOPs from scratch in fast-moving environments
  • Strong written and spoken English (C2 level preferred)
  • Ability to manage multiple systems and clients simultaneously
  • Strong organizational skills and attention to detail
  • Ability to take messy inputs (Looms, notes, conversations) and turn them into clear documentation
  • Comfort working remotely with distributed teams
  • High ownership, professionalism, and discretion
  • Experience with Zapier or other automation tools
  • Experience using AI tools like Claude, Claude Co-work, or ChatGPT for documentation and workflows
  • Strong interest in productivity systems and frameworks

Nice to have (but not required):

  • Familiarity with concepts from books like Getting Things Done, Building a Second Brain, or Atomic Habits
