Employment Type: Part Time / 20hrs per week

Schedule: Monday to Friday

Compensation: $13-$18 /hr

About the Role

The virtual assistant will support daily property management operations by handling utilities data entry and setup, lease renewal processing, new owner onboarding from initial owner setup through tenant configuration, and delinquency processing. This role requires strong attention to detail, accuracy in data entry, and a strong sense of time management. This role will also provide administrative and operational support for additional priorities as assigned, helping ensure smooth and efficient property management workflows.

Who You Are

You’re ideal for this role if you’re a detail-oriented operations supporter with prior experience in the real estate or property management industry who thrives on accuracy, structure, and clear processes. You’re comfortable working inside AppFolio and handling data entry tasks that directly support property management and accounting workflows, and experience working with U.S.-based companies is a strong plus. You enjoy keeping things organized—from utilities setup to delinquency tracking—and you take pride in following SOPs to get things done right the first time.

You’re proactive, reliable, and able to support a controller by taking ownership of administrative and accounts-payable-related tasks as assigned. You manage your time well in a part-time, remote setup, communicate clearly, and can shift between priorities without losing accuracy. Being Spanish-speaking is a strong plus, and you’re comfortable working offshore while collaborating with a U.S.-based team.

This role may not be a good fit if you’re unfamiliar with AppFolio or other property management software.

Key Responsibilities

Utilities & Data Management

  • Perform accurate utilities data entry and account setup for managed properties
  • Maintain and update utility records for buildings to ensure timely billing and compliance
  • Maintain and update utilities for “move out” tenants to ensure we turn off utilities as they leave

Lease & Renewal Processing

  • Process lease renewals in the property management system
  • Update rent amounts, lease terms, and renewal documentation accurately

Owner & Property Onboarding

Complete new owner onboarding, including:

  • Owner profile setup
  • Property configuration
  • Tenant setup and verification
  • Ensure all owner, property, and tenant information is entered correctly and fully
  • Manage HUD/CHA Tenant records within CHA and AppFolio

Delinquency & Rent Collections Support

Assist with delinquency processing, including:

  • Monitoring past-due accounts
  • Sending notices and reports as directed
  • Updating delinquency statuses in the system

Administrative & Priority Support

  • Support additional priorities and projects as assigned
  • Assist with administrative tasks to support property management and accounting operations

Requirements

  • Previous experience in property management, administrative support, or bookkeeping/accounting assistance
  • Strong data entry skills with high attention to detail and accuracy
  • Experience working with property management software (AppFolio, Buildium, Yardi, Rent Manager, or similar) preferred
  • Basic understanding of lease terms, renewals, and tenant records
  • Familiarity with delinquency tracking and account follow-up is a plus
  • Ability to manage multiple tasks and shifting priorities in a fast-paced environment
  • Strong organizational and time-management skills
  • Clear written communication skills and professionalism in internal correspondence
  • Ability to follow standard operating procedures (SOPs) and documented workflows
  • Comfortable working remotely with minimal supervision
  • Proficient in Google Workspace and/or Microsoft Office
