Job Description

We’re looking for an Executive Assistant (Operations) to support a fast-growing health-tech platform working at the intersection of clinician education and healthcare innovation. This role is highly operational and cross-functional, focused on keeping internal workflows, external communication, and administrative processes running smoothly across teams.

You will support leadership and managers with coordination, outreach, documentation, and light finance and billing tasks. This role is ideal for someone who is highly organized, confident in written communication, and comfortable operating across multiple workstreams in a startup environment.

What You’ll Work On

Executive and Operational Support

  • Support leadership and managers with scheduling, coordination, and follow-ups
  • Maintain organized documentation, trackers, and internal records
  • Prepare summaries, notes, and basic reports to support decision-making
  • Help keep projects and internal initiatives moving forward

Cross-Functional Coordination

  • Work with multiple managers across operations, partnerships, and internal teams
  • Coordinate timelines, deliverables, and communication between stakeholders
  • Follow up on action items and ensure nothing falls through the cracks

Brand and Partner Outreach Support

  • Assist with outbound communication to brands, partners, or external stakeholders
  • Draft and send professional emails and follow-ups
  • Maintain outreach lists, CRM entries, or partnership trackers as needed

Billing and Finance Assistance

  • Support basic billing, invoicing, and finance-related tasks
  • Track payments, expenses, or simple financial records
  • Coordinate with leadership or external partners on billing questions or documentation

What You Bring

  • 3+ years of experience as an Executive Assistant, Operations Assistant, or similar role
  • Strong written and verbal English communication skills
  • High attention to detail with strong organizational habits
  • Comfort juggling multiple priorities across different teams
  • Experience supporting operations, admin, or business processes
  • Ability to work independently and proactively in a startup environment

Nice to Have

  • Previous experience in health-tech, SaaS, or technology startups
  • Background supporting billing, finance, or invoicing workflows
  • Familiarity with tools like Google Workspace, Notion, Airtable, or CRMs
  • Experience coordinating with external partners or brands
